Privacy Policy
Effective date October 26, 2026
This policy explains what personal data TripNova handles, why we handle it, how long we keep it, who receives it, and the rights and choices you have. TripNova is operated by NovaThrive LLC ("we", "us"), the data controller for the server-side processing described here.
1. Who we are and when this policy applies
TripNova is a local-first trip-planning app for iOS, Android, and the web, published by NovaThrive LLC. This policy applies to the TripNova apps, website, accounts, and cloud services. For a privacy question or rights request, contact [email protected].
2. Data we handle now and conditionally in the future
You can build trips and itineraries as a guest without creating an account. What leaves your device depends on the features you choose. Sections 2.1 through 2.5 describe the base practices that apply now. Section 2.2.1 describes the age requirement and device age signals. Section 2.6 describes conditional future features that are not active yet. Section 2.7 describes sign-in codes by text message, which apply only where TripNova offers them.
2.1 Data kept on your device
Your guest profile, trips, itineraries, checklists, documents, reminders, and exports are stored locally on your device or in your browser, and reminders are scheduled on your device. Opening TripNova does not create a cloud account or upload this content. Local data leaves your device only when you use an online feature, such as searching for a place, checking the weather, or signing in so that your trips are backed up. You control local data through the app and your device or browser storage controls.
Booking import: when you import a booking confirmation, such as a PDF, an email, a wallet pass, a photo, or pasted text, TripNova reads it on your device; the file is not uploaded to be read. TripNova does not extract passenger names, ticket numbers, prices, or payment or loyalty details. Only the flights and stays you review and save become trip data. Each source file is kept in the trip's documents unless you switch that off in the review. For a trip in your account, a kept file is backed up and synced with the trip, including everything it contains, such as passenger names and prices.
Text and barcode recognition: TripNova recognizes text in the photos and scans you import, and decodes boarding-pass barcodes, on your device. On iOS it uses Apple's built-in Vision framework. On Android it uses Google's ML Kit text-recognition and barcode-scanning models, which are bundled in the app and run on your device. We use ML Kit to provide on-device reading of booking confirmations on Android. On Android, TripNova asks for your permission before it first uses ML Kit to read a photo, scan, or boarding-pass barcode. If you decline, PDF, email, wallet pass, and pasted-text import still work. You can change your choice at any time in Settings, under Privacy & data, with the switch Read photos and scans with Google ML Kit; turning it off withdraws your consent. The image or file is not sent to Google or to us to be read. ML Kit does send Google diagnostics: device and app information, a per-installation identifier, performance metrics such as latency, image format and size, and error codes, and API configuration. According to Google's ML Kit documentation, it never sends image content. Google collects the diagnostics to maintain and improve ML Kit. Legal basis for ML Kit: your consent (Art. 6(1)(a) GDPR), which is also the consent required under Art. 5(3) of the ePrivacy Directive and regulation 6 of the UK PECR. The web app does not read text in photos or scans. Section 5 lists Google ML Kit as a provider.
Photos and files: when you add a photo or file, such as a trip cover, an attachment, your profile photo, or a booking to import, you choose it with your device's own photo or file picker, and TripNova receives only the items you select. Your profile photo stays on your device. A cover, photo, or file that you add to a trip is stored with that trip: on your device for a guest trip, and backed up and synced with the trip once it is in your account (section 2.3). Your device's picker may leave a temporary copy of what you choose in the app's cache. TripNova deletes that copy as soon as it has read the file, whether or not the import succeeds. Erase data on this device also clears the copies that pickers, shares, and exports leave in the app's cache.
PDF itinerary: when you share a trip as a PDF (Export PDF on the web), TripNova builds the file on your device. It lists each day's activities with their times and, where you stored them, flight routes and seats, a stay's property or address and nights, places, and booking references, under the trip's name, destination, and dates. TripNova does not send the file anywhere. You start the share and choose where it goes, and the app or place you choose handles the file under its own terms. On the web the file downloads to your device.
Reminders: reminders are local notifications that your device schedules and shows. The notification itself is not sent to us or to a server; it is built from your trip's activity times and checklist due dates, which are stored with the trip (section 2.3). TripNova schedules one at the start time of each activity that has a time within the trip's dates, and one at 9:00 on the due date of each open checklist item. Each kind can be turned off in Settings under Notifications. TripNova explains reminders in the app first and asks your device for notification permission only when you choose to turn them on. On Android you can also allow exact alarms so that reminders arrive on time; without them they may arrive a few minutes late. The web app cannot show reminders. Push notifications from a server are not active (section 2.6).
Sign-in on your device: when you sign in on iOS or Android, the app keeps an opaque session token in your device's secure, encrypted storage, separate from your trip data, so that you stay signed in. Your data exports never include it. On the web, the sign-in session is kept in cookies instead (section 9). On every platform the app also keeps a small record of the signed-in account (its ID, email address, display name, whether the email is verified, and the state of your TripNova account) so that it can reopen signed in. It also remembers which sign-in method you used last (Apple, Google, or email, never your address) and marks that method on the sign-in screen. That note stays on the device, and Erase data on this device clears it.
Android backup: on Android, the device's own backup, if you have turned it on, may also copy the app's data, including your trips, to your Google account, and the device-to-device transfer may copy it to a new device. Your device settings and Google control those copies, not TripNova. The sign-in session token kept in secure storage is not part of them.
iOS backup: on iOS, the device's own iCloud backup, or a backup of the device to a computer, if you use one, may include TripNova's data on the device, including your trips. TripNova does not exclude any of its data from those backups. Your device settings and Apple control those copies, not TripNova.
In your browser (web app): the web app keeps the following in your browser, on your device:
- the trip database, in your browser's IndexedDB or origin private file system storage: your guest trips, and an offline copy of each account that has signed in in that browser (signing out hides an account's copy; Erase data on this device removes every copy);
- an offline copy of the app itself, which a service worker keeps in the browser's cache so that the app can reopen without a connection: it holds only the app's public files, never your trips, sign-in details, or media;
- small flags and preferences in local storage, such as your Theme and Time format choices, your reminder settings, whether you dismissed a notice, and which sign-in method you used last, together with a small record of the signed-in account (its ID, email address, display name, whether the email is verified, and the state of your TripNova account) and an opaque ID of the account that is open, which keeps your tabs in step;
- while you are sent to Google to sign in, a short note in the tab's session storage (section 9).
The sign-in session itself is kept in cookies (section 9). Your browser's site-data controls clear all of this as well.
Legal basis when the app processes this data locally: performance of our contract with you (Art. 6(1)(b) GDPR). Data that never leaves your device is not received by or accessible to us.
2.2 Your TripNova account and your NovaThrive Account
Creating an account is optional and is needed only for cloud backup and sync, and for collaborative features when they launch. A NovaThrive Account is the sign-in you use for TripNova and other NovaThrive apps. Your TripNova account is what TripNova keeps for you under it, such as your synced trips and files. Our self-hosted identity service, powered by Ory Kratos, stores your NovaThrive Account: your sign-in contact, an email address, and your name if one is given (Google and Apple can supply it; signing up with an email address does not ask for it, and you can add it in Settings). Your password, if you set one, is transmitted to our self-hosted identity service over an encrypted connection and stored only as a salted hash; we do not store it in plaintext. Phone sign-in is not yet available. Section 2.7 explains how sign-in codes by text message work where TripNova offers them.
One sign-in screen, with an emailed code: TripNova has one screen for signing in and signing up. You choose Continue with Apple, Continue with Google, or Continue with email. With email, you enter your address and we email you a one-time 6-digit code. Entering it in the app verifies the address and signs you in, or creates your account if you are new. Signing up asks for no password. A password is optional: any signed-in account with an email address can set or change one in Settings and then sign in with it instead of a code. Setting or changing a password, or recovering your account, signs the account out on its other devices.
A verified email address: an account needs a verified email address before it can finish setting up TripNova, sync, or back up anything to the cloud. The emailed code, Google, and Apple each verify the address when you sign up. Without a verified address you can still see your account's status, sign out, export your data, and delete your account.
Sign in with Google or Apple (optional): where the app offers them, you can sign in or sign up with Google or Apple instead of an emailed code. The provider confirms your identity to our identity service and returns identity details that include your email address and, where it has one, your name. The provider must have verified the email address, and we refuse one that it has not. Apple returns your name only the first time you use it with TripNova. Our identity service keeps the email address and name as your sign-in details and links that provider to your account. On the web, Google is contacted for sign-in only when you press Continue with Google. On the web, Sign in with Apple loads Apple's sign-in script from Apple's servers when you press Continue with Apple, so Apple can receive your IP address and browser details at that point. Each provider handles your use of its sign-in under its own privacy policy (section 5).
Changes at Apple: if your account uses Sign in with Apple, Apple tells our identity service when you stop using Sign in with Apple with TripNova or delete your Apple Account. We then sign that account out on every device. This deletes no data. We keep a short record of the event (section 7). If Sign in with Apple was your only way to sign in, email [email protected] for help with your account.
Legal basis: performance of our contract with you (Art. 6(1)(b) GDPR).
Copies of the emails we send: our identity service keeps a copy of each email it sends you, such as one with a sign-in code, for 30 days (section 7), so that we can check that codes are delivered and review abuse.
Legal basis for those copies: our legitimate interests in delivering sign-in codes reliably and reviewing abuse (Art. 6(1)(f) GDPR).
What you agree to, and the record we keep: a new NovaThrive Account is created, or an existing one enrolls in TripNova (starts using it, for the first time or again), only when you tap a button under a notice that names the Terms of Service and the Privacy Policy (Terms, section 1). We keep a record of that tap. It holds:
- a fingerprint of the notice text you were shown, which also covers the document versions and page addresses it names;
- where the notice was shown: the sign-in screen or the create-account panel;
- the versions of the Terms of Service, of this Privacy Policy, and of our sign-up rules, and the addresses of the Terms and of this Privacy Policy;
- the method you tapped: Apple, Google, email, or, where TripNova offers it, phone;
- the platform: iOS, Android, or web;
- your confirmation that you are at least 18: the age rule, the minimum age of 18, and the date;
- the times you agreed to the Terms and acknowledged this Privacy Policy, and when the record was created and last changed;
- references that link the record to that sign-up attempt.
For an account created under an earlier version, the record instead shows that the account passed its age check, and the date. Terms acceptance and acknowledging this Privacy Policy do not establish a lawful basis for every use of personal data.
Where the record is kept: in your TripNova account and, when your NovaThrive Account was created through TripNova, as a copy with your NovaThrive Account. That copy holds the fingerprint, where the notice was shown, the versions, the method, the platform, the times, and the references, but not the age confirmation or the page addresses. The TripNova copy is included in Export my data. The copy kept with your NovaThrive Account is included when you ask us for your NovaThrive Account data (section 8). Both are deleted as section 7 says.
Legal basis for the record: our legitimate interests in being able to show which versions of the Terms and the Privacy Policy, and which notice, you agreed to and when, and in establishing, exercising, or defending legal claims (Art. 6(1)(f) GDPR).
2.2.1 Age requirement and device age signals
TripNova is for adults aged 18 and older, for all use, guests included (Terms, section 2). TripNova no longer collects or uses dates of birth or age-group statistics. Dates of birth and age-statistics settings collected under earlier versions of this policy have been deleted. Copies in encrypted backups are overwritten within the 30-day backup window in section 7. Because TripNova keeps neither a date of birth nor a device age signal, there is nothing of either to export, correct, or delete.
Your confirmation. Under the Terms (section 2), creating an account, or enrolling an existing NovaThrive Account in TripNova, is your confirmation that you are at least 18. You make it by tapping under the notice (Terms, section 1), and we keep a record of it with the rest of your agreement (section 2.2). This is your own confirmation, not independent age verification.
Device age signals (iOS and Android). Where a law requires an age check, Apple (Declared Age Range) and Google (Play Age Signals) can tell an app whether the person using the device is an adult or a minor, from the age information held in the Apple Account or Google account. On iOS and Android, TripNova reads that signal on your device, and only where the platform reports that such a law applies. It reads it when the app opens and again before each step of signing in or creating an account. The answer stays in the app's memory only: it is not stored, not sent to us or to anyone else, not logged, and not used for analytics or for anything other than the lock described below. Like the data in section 2.1 that never leaves your device, it is not received by or accessible to us.
If the signal says you are under 18, the app locks on that device, for guests too. Any account is signed out on that device only, without contacting us, and the app offers Export my trips so that you can save the trips kept on that device as a guest to a file. This follows the signal alone. If the device gives no signal, or you decline to share it, the app opens as usual. The signal comes from Apple or Google, not from TripNova, so TripNova cannot correct it; TripNova reads it again each time it opens. The web app has no age check; the Terms are the age requirement there.
Legal basis for reading the device age signal: our legitimate interests in enforcing the 18+ requirement (Art. 6(1)(f) GDPR).
2.3 Trips in your account
Trips in your TripNova account are backed up and synced automatically; there is no per-trip setting. For each account trip we store its name, destinations, dates, itinerary, activities, notes, checklists, reminders, flight and hotel details, activity locations, cover images, attachments, and other files you upload. We also store record identifiers and update times needed to sync. Trips you plan as a guest stay on your device; after you sign in, TripNova may offer to move them into your account, and they move only if you accept.
A trip may contain personal data about a companion that you enter, such as their name and optional contact details. Only add what is needed for the trip, make sure you are entitled to share it, and tell them that it will be handled under this policy. When shared trips launch, we will also store a shared trip's members, invitations, and roles so invited people can access it.
Legal basis: performance of our contract with you (Art. 6(1)(b) GDPR). For companion data supplied by a user, our legitimate interest is to provide the trip-planning feature the user requested (Art. 6(1)(f)), balanced against the companion's rights and the data-minimization rules above.
2.4 Place, route, and map requests
When you use destination search, geocoding, routing, or points of interest, the place or route query is sent through our Cloudflare proxy to Geoapify. Weather requests are sent through the same proxy to OpenWeather. We do not attach your TripNova account ID to either upstream query. Cloudflare processes network data such as your IP address to deliver and rate-limit the request; this is not a promise of total anonymity. Map tiles are OpenStreetMap-derived/Protomaps tiles served by TripNova through Cloudflare. Directions open your device's maps app, such as Apple Maps or Google Maps, with the stop's name and location; that app's own privacy terms apply.
Legal basis: performance of our contract with you (Art. 6(1)(b)) and our legitimate interest in protecting the service from abuse (Art. 6(1)(f) GDPR).
2.5 Security and operational records
To keep the service available and protect it from abuse, our servers and edge network process limited technical records such as IP addresses, request times and routes, account or request identifiers, error details, and rate-limit counters. Application logs are designed not to contain trip content, email addresses, phone numbers, precise coordinates, or chat text. Where an account reference is needed, we use an internal account ID rather than your email address.
Legal basis: our legitimate interest in securing and operating the service (Art. 6(1)(f) GDPR).
2.6 Conditional future sharing and communication features
These features are not active yet. TripNova does not currently process live GPS or coarse last-seen location, provide in-app trip chat, or enable peer-to-peer media sharing. Live GPS, last-seen, and P2P sharing remain inert until their respective feature and required consent control ship. Chat processing begins only when the chat feature ships. Shared trips, polls, shared photos and files, view-only links, and push notifications are not active yet either. We will update this policy and app-store disclosures before activation.
Live GPS sharing: if and when you enable it, the person sharing location must accept each sharing session. Location is relayed only to the selected participants, is never persisted or logged by TripNova, and is session-scoped and short-lived.
Coarse last-seen: if and when you separately opt in, TripNova may keep only your latest coarse location stamp for trip interactions. This consent is distinct from live sharing and from whether another person can ask to find you. The latest-only stamp will be cleared after the configured short retention TTL; the precise period will be published before this feature is activated.
Trip chat: if and when account-backed shared-trip chat launches, messages and related account/trip context will be processed to let members communicate and coordinate the trip. The planned default is 365 days for live messages and three years for the archive, subject to trip or account deletion.
Shared trips, polls, shared photos and files: if and when these launch, a shared trip's content, membership, votes, and shared media will be visible to its members according to their roles.
View-only links: if and when this launches, a trip owner will be able to create a link that shows the trip, read-only and without an account, to anyone who has it, until the owner revokes it or it expires.
Push notifications: if and when server push launches, we will process a device push token only after you allow notifications.
Peer-to-peer (P2P) media: if and when enabled, sharing on a local network or nearby mobile devices will require its own consent. Media may transfer directly and recipients keep copies on their own devices. TripNova cannot remotely delete copies already transferred; cloud or account deletion covers cloud data and the initiating user's own device only.
2.7 Sign-in codes by text message (SMS)
This section applies only where TripNova offers sign-in codes by text message. Where it does not, TripNova sends no text messages and collects none of the data described here. The SMS terms in the Terms of Service cover message frequency, charges, HELP and STOP, carrier limits, and support.
Where TripNova offers sign-in codes by text message, NovaThrive LLC sends them under the TripNova name. A code is a one-time code to sign up or sign in with your phone number. We send one only when you request it in the TripNova app, and we use text messages for no other purpose: no marketing and no promotions. The phone number you use is held by our self-hosted identity service as your sign-in contact, like an email address (section 2.2).
Opt-in. Before the first code of each request, the app shows an opt-in with an unchecked checkbox, the notice that message and data rates may apply, the HELP and STOP instructions, and links to the SMS terms and to this section. Codes you ask us to resend during the same request rely on that same opt-in, and a new request shows it again.
Legal basis for sending the code: performance of our contract with you, including steps you ask us to take before it begins (Art. 6(1)(b) GDPR). The checkbox is the opt-in record that mobile carriers require. It is not consent under the GDPR, and we do not rely on consent to send the code.
Opt-in record. Each time we send a code, we add a record to a log: the time, your phone number, the purpose (sign-up or sign-in), the version of the opt-in text you were shown, and your account ID when we know it. We keep it to demonstrate that each text followed a request and an opt-in, as mobile carrier rules require.
Legal basis for the opt-in record: our legitimate interest in being able to demonstrate that our text messages meet mobile carrier opt-in requirements (Art. 6(1)(f) GDPR). The record holds only the fields listed above and is kept for a fixed period.
Retention. We keep each opt-in record for 365 days and then delete it. We keep it for that period even if you delete your TripNova account or your NovaThrive Account, because Art. 17(3)(e) GDPR allows us to retain data we need to establish, exercise, or defend legal claims.
Access and export. Opt-in records that match your NovaThrive Account or the phone number currently on your account are included in your NovaThrive Account data export. Section 8 explains how to ask for it.
Delivery and sharing. Messages are delivered through AWS Notify (AWS End User Messaging), our processor (section 5). AWS handles the request in the EU (eu-west-1, Ireland), and the message then reaches you through mobile carriers in the country of your number, which may be outside the EEA. In particular:
- No mobile numbers will be shared with third parties or affiliates for marketing or promotional purposes.
- Text messaging originator opt-in data and consent will not be shared with any third parties.
- Messages are delivered through AWS Notify. AWS does not share end user phone numbers with third parties for marketing or promotional purposes.
Countries. Sign-in codes by text message are not available in every country. If your number is not supported, no code is sent and you can use email instead.
3. How we use data
We use the data described above only to:
- run the app, and back up and sync the trips in your account across your devices;
- create and secure your account, verify your sign-in contact, and recover access;
- keep a record of what you agreed to when you create or enroll an account (section 2.2);
- where TripNova offers it, send you a one-time sign-in code by text message when you request one, and keep a record of that opt-in (section 2.7);
- apply the 18+ requirement, using the device's own age signal on iOS and Android where a law requires it (section 2.2.1);
- enable shared trip planning with people you invite, when that feature launches;
- provide place search, routing, points of interest, and maps;
- support you and diagnose errors you report;
- keep the service secure, available, and free from abuse.
We do not sell personal data or use it for advertising or targeted marketing. TripNova's apps include no advertising, analytics, or crash-reporting SDKs (third-party software libraries). The one related exception is Google's ML Kit on Android: after you allow it, it sends Google the diagnostics described in section 2.1. The only automatic decision about your age is the lock in section 2.2.1, which follows the device's age signal alone. The rights in section 8 remain available.
4. When we disclose data
We disclose data only as needed to operate features you request, to the providers in section 5, when you share a trip once sharing launches, when disclosure is required by law, or in the business transfer described below.
When shared trips launch, members of a shared trip will see its content, including companion details, files, and membership information included in that trip, and their access will depend on their assigned role. A member may export or copy information onto their device; those independent copies cannot be remotely removed by TripNova.
Business transfers: if NovaThrive LLC is involved in a merger, reorganization, financing, or sale of the Service, personal data we hold may be transferred as part of it, subject to applicable law.
5. Service providers, storage, and transfers
Cloud account and trip data are hosted in the European Union, primarily in Ireland, and our team may also access it from the United States, as described after the table. Our processors (AWS, Cloudflare, Resend, Geoapify, and OpenWeather) are bound by contract to protect personal data to at least the standard this policy sets. Google and Apple sign-in and Google ML Kit are not our processors: each acts as an independent controller under its own privacy policy.
| Provider | What they do | Location / safeguard |
|---|---|---|
| Amazon Web Services (AWS) | Compute and managed database | EU (eu-west-1, Ireland); AWS DPA and Standard Contractual Clauses |
| Resend (Plus Five Five, Inc.) | Account email delivery: sends the sign-in code emails and the other account emails from our identity service to your email address | United States; Resend DPA and Standard Contractual Clauses, and Resend's certification under the EU-U.S. Data Privacy Framework and its UK Extension |
| AWS End User Messaging (Notify) | Where TripNova offers sign-in codes by text message: delivers the one-time code to the phone number you enter, only after you request it | Processed by AWS in the EU (eu-west-1, Ireland); AWS DPA and Standard Contractual Clauses. The message is then delivered by mobile carriers in the country of the recipient's number, which may be outside the EEA. That transfer is limited to delivering the code you asked for and is necessary to perform our contract with you (Art. 49(1)(b) GDPR); the carriers apply their own terms and local law |
| Cloudflare | Security, rate limiting, content delivery, static hosting, request proxying, and file/object storage | EU jurisdiction for stored objects; global edge processing is transient; Cloudflare DPA and Standard Contractual Clauses |
| Geoapify | Place search, geocoding, routes, and points of interest requested by you; no TripNova account ID is sent upstream | Third-party service provider under a data processing agreement |
| OpenWeather | Weather requests you make through TripNova; no TripNova account ID is sent upstream | Third-party service provider in the UK, which has an EU adequacy decision |
| Google (optional sign-in) | Only if you choose Sign in with Google: confirms your identity to our identity service and returns identity details that include your verified email address and, where it has one, your name, which we use to create your account and sign you in | Third-party sign-in provider that you choose to use and that acts as an independent controller; its own privacy policy applies to your account with it, and international processing is governed by Google's privacy and transfer terms |
| Apple (optional sign-in) | If you choose Sign in with Apple: confirms your identity to our identity service and returns identity details that include your verified email address and, the first time you use it with TripNova, your name, which we use to create your account and sign you in. On the web, Apple's sign-in script loads from Apple's servers when you press Continue with Apple (section 2.2). When an account that uses Sign in with Apple uses Delete NovaThrive Account, our identity service sends Apple the one-time code from its prompt to check which Apple Account it belongs to and to revoke TripNova's Sign in with Apple authorization (section 8). Apple tells our identity service when you stop using Sign in with Apple with TripNova or delete your Apple Account (section 2.2) | Third-party sign-in provider that you choose to use and that acts as an independent controller; its own privacy policy applies to your account with it, and international processing is governed by Apple's privacy and transfer terms |
| Google ML Kit (Android only) | On-device reading of booking confirmations on Android (text recognition and barcode scanning) after you give permission. It runs on your device and sends Google diagnostics (device and app information, a per-installation identifier, performance metrics such as latency, image format and size, and error codes, and API configuration); Google's ML Kit documentation says it never sends image content. Google collects the diagnostics to maintain and improve ML Kit. Legal basis: your consent (Art. 6(1)(a) GDPR), which is also the consent required under Art. 5(3) of the ePrivacy Directive and regulation 6 of the UK PECR | Software library bundled in the Android app; the diagnostics go to Google, which acts as an independent controller under its own privacy policy, and international processing is governed by Google's privacy and transfer terms |
| OpenStreetMap-derived/Protomaps data | Map-tile source data, served by TripNova through Cloudflare | Open-data-derived map content; delivery uses Cloudflare as described above |
Ory Kratos runs on our infrastructure and is not a third-party processor. Cloudflare operates a global edge network, so transient request data may be processed outside the EEA. NovaThrive LLC is based in the United States, and our team may access personal data from there. For transfers from the EEA or UK to the US, we rely on the EU-U.S. Data Privacy Framework and its UK Extension where the recipient is certified, and otherwise on the European Commission's Standard Contractual Clauses, with the UK Addendum for UK data. Resend, which delivers our account emails, processes them in the United States and is certified under the EU-U.S. Data Privacy Framework and its UK Extension. Geoapify processes place queries under a data processing agreement; OpenWeather is in the UK, which has an EU adequacy decision. To ask for a copy of the safeguards, email [email protected].
6. How we protect data
We use safeguards appropriate to the data and risk, including encrypted connections, access controls, data minimization, separation of identity and trip data, and encrypted off-site backups. Passwords are stored as salted hashes. If an email address is verified for the first time when someone signs in with a code sent to it, we remove any password and any Google or Apple sign-in that was added to that account before, and sign the account out on its other devices. This stops someone who registered an address they do not own from keeping access to it. No internet service can guarantee absolute security, so if you set a password, use a strong, unique one, and tell us if you suspect misuse.
7. How long we keep data
Local-only data remains on your device until you delete it through the app or your device or browser controls. We keep account and synced-trip data while your account exists, unless you delete a synced trip sooner. The conditional future retention periods below are planned defaults, not currently enforced because those features are not active.
| Data | Retention |
|---|---|
| Account details and synced trip content, including uploaded files | Until the relevant trip or account is deleted, then removed from active systems |
| NovaThrive Account | Until you delete it. We may delete a NovaThrive Account whose email is never verified after 30 days. We may also delete one that has not been used to sign in for 24 months, with its TripNova data; we send an email warning first and wait 30 days |
| Record of what you agreed to when you created or enrolled your account (a fingerprint of the notice shown, where it was shown, the document and sign-up rule versions, the method tapped, the platform, your 18+ confirmation, and the times) | The copy in your TripNova account is deleted when you delete your TripNova account. The copy kept with your NovaThrive Account, where there is one, is deleted when you delete your NovaThrive Account (backups follow the rotation below). A sign-up that is not finished leaves a temporary sign-up record, with no email address or name, that expires within 10 minutes |
| Sign-in code emails: the copies our identity service keeps of the emails it sends (your email address, the message with its one-time code, and the technical details of the request that asked for it) | 30 days, then deleted |
| Security logs and rate-limit records | Only for the short operational period needed to secure, diagnose, and protect the service, then deleted or de-identified |
| Account-closed marker (your TripNova account ID and the time of deletion only) | Kept after you delete your TripNova account, until you start using TripNova again; it keeps the account closed on all your devices. After you delete your NovaThrive Account, it is kept only as long as needed to show that the deletion was carried out |
| Correspondence and the short record about an account-deletion request (the emails, a reference, dates, and your account ID) | 3 years after the request is closed, then deleted; kept to show that we handled the request (Art. 6(1)(f) and Art. 17(3)(e) GDPR) |
| Record of a NovaThrive Account deletion or of a Sign in with Apple change (your NovaThrive Account ID, a reference, times, the outcome of each step, and the kind of change; never a password, token, or code) | Kept only as long as needed to show that we carried out the deletion or sign-out, normally about 3 years (Art. 6(1)(f) and Art. 17(3)(e) GDPR) |
| Encrypted database backups | Rotated on a 30-day cycle; deleted data may remain in a backup for up to 30 days before being overwritten |
| SMS opt-in records: time, phone number, purpose, opt-in version, and account ID when known (only where sign-in codes by text message are offered) | 365 days, then deleted. Kept for that period even after you delete your TripNova account or your NovaThrive Account (Art. 17(3)(e) GDPR), and included in your NovaThrive Account data export while kept |
| Future live GPS sessions | Relay-only and never persisted or logged by TripNova; session-scoped and short-lived |
| Future coarse last-seen location | Latest coarse stamp only; cleared after a configured short TTL. The precise period will be published before activation. |
| Future trip chat | Planned default: 365 days for live messages and three years for archive records, subject to trip or account deletion |
8. Your rights and choices
Subject to applicable law, you may:
- Access the personal data we hold about you;
- Export a portable copy of local and cloud data;
- Rectify account or trip data that is inaccurate;
- Delete a trip, your TripNova account, or your NovaThrive Account (the right to erasure), subject to the backup window and independent copies described above;
- Restrict or object to certain processing;
- Withdraw consent at any time where we rely on consent, without affecting earlier lawful processing;
- Complain to the data-protection authority where you live or work, or where you believe a violation occurred.
Your right to object. Where we rely on legitimate interests, you can object at any time, on grounds relating to your situation, by emailing [email protected]. We rely on them for the copies of the emails we send, such as sign-in codes (section 2.2), the record of what you agreed to (section 2.2), reading the device age signal (section 2.2.1), companion details (section 2.3), protecting place, route, and map requests from abuse (section 2.4), security and operational records (section 2.5), SMS opt-in records where TripNova offers sign-in codes by text message (section 2.7), and the records of account-deletion requests, NovaThrive Account deletions, and Sign in with Apple changes (section 7). An objection does not stop us keeping what we need to establish, exercise, or defend legal claims.
Complaints. If you are in the UK, you can complain to us at [email protected]; we acknowledge complaints within 30 days. You can also complain to the ICO (ico.org.uk). In the EU, you can complain to the authority for your country listed at edpb.europa.eu.
Account deletion
In the TripNova app, open Settings and, in the Delete account section, use Delete TripNova account to delete your TripNova data (synced trips, uploaded files, your TripNova copy of the record of what you agreed to, and this account's local data on that device). Device-only guest trips and other accounts are kept. You can also export a copy first from the same Settings screen. That does not delete your NovaThrive Account, which other NovaThrive apps may still use. The Delete your TripNova account page lists the steps in plainer words.
Delete NovaThrive Account: in the TripNova iOS and Android apps, a signed-in account also has Delete NovaThrive Account in the Delete account section of Settings. It deletes your NovaThrive Account together with your data in TripNova and in every other NovaThrive app that uses it, except the records listed in section 7, signs that account out on every device, and then removes this account's data from that device. You confirm by typing, then show that it is you: through Apple's prompt if your account uses Sign in with Apple, otherwise by signing in again. For an account that uses Sign in with Apple, the app sends the one-time code from Apple's prompt to our identity service. The identity service exchanges it with Apple, checks that it belongs to the Apple Account linked to your NovaThrive Account, and revokes TripNova's Sign in with Apple authorization at Apple before anything is deleted. We do not keep the code or any token Apple returns. If the deletion cannot finish, your NovaThrive Account is kept so that it can be completed later, nothing on your device is removed, and you can try again or ask by email (below). Steps that already finished, such as deleting your TripNova data or revoking Sign in with Apple, are not undone. We keep a short record of the deletion (section 7). The web app does not offer Delete NovaThrive Account; use the email request below.
Without the app: you can also ask us to delete your TripNova account by email. You may email [email protected] from any address with the subject "TripNova account deletion". Tell us the email address on your TripNova account, including an Apple Hide My Email address if you use one. We send a confirmation code to that address, and replying to confirm completes verification. We then delete the TripNova account's data, exactly what Delete TripNova account in the app deletes, and complete the request without undue delay and at the latest within one month of verifying it.
Data held only on your own devices is not part of this request; Erase data on this device in the app covers it (Settings shows it when you are not signed in). Deleted data follows the backup window in section 7. We keep the correspondence about a deletion request, and a short record of it (a reference, dates, and your account ID), for 3 years after the request is closed (section 7). Your NovaThrive Account stays unless you also ask for it to be deleted (below).
To delete your NovaThrive Account without the app, email [email protected] with the subject "TripNova identity deletion". We will verify the request and complete the deletion without undue delay and at the latest within one month of verifying it. A deletion we carry out on request cannot revoke Sign in with Apple at Apple, so if your account uses Sign in with Apple, also remove TripNova under Sign in with Apple in your Apple Account settings. Copies already on another person's device cannot be remotely removed. Where TripNova offers sign-in codes by text message, the opt-in records described in section 2.7 are kept for their 365 days even after deletion.
To exercise another right, email [email protected]. We may need to verify your identity. We will respond without undue delay and ordinarily within one month; where the law permits an extension, we will explain it.
9. Cookies
The public website at tripnova.io sets no cookies and uses no analytics or advertising trackers. The web app at app.tripnova.io stores strictly necessary sign-in state. Browser authentication uses our identity service's session and security cookies to keep you signed in and protect sign-in requests.
Those cookies are first-party: our identity service sets them from a TripNova address (auth.tripnova.io), not from a third party. The session cookie keeps you signed in. The security cookies carry a sign-in or sign-up flow from one step to the next and protect each form against cross-site request forgery (CSRF). While you are redirected to Google to sign in on the web, the web app also notes the attempt in your browser tab's session storage: the provider, the page you came from, the time and, for sign-up, an opaque sign-up reference and attempt number with the document versions you accepted. It is removed when the attempt ends. The iOS and Android apps do not use cookies for this: they keep a session token in secure storage on your device (section 2.1).
Besides cookies, the web app uses your browser's storage, as section 2.1 lists: the trip database, an offline copy of the app, small flags and preferences, and the short note above. It is there to run the app and to remember your choices on your device, and none of it is used for advertising or analytics.
If non-essential cookies are introduced, we will update this policy and ask for consent before setting them.
10. Children
TripNova is intended for adults aged 18 and older, for all use, guests included. It does not collect a date of birth. On iOS and Android, where a law requires it, the app reads the device's own age signal and locks itself when the signal says you are under 18 (section 2.2.1). We do not knowingly collect personal data from children. If you believe a child has provided data to us, contact us so we can investigate and delete it where appropriate.
11. Changes to this policy
We may update this policy as TripNova evolves, especially when a feature changes what data is handled. We will revise the date above and provide prominent or advance notice of material changes where appropriate or required by law. We will seek consent before new processing where consent is the applicable basis. We will not use personal data we already hold in a materially different way from what this policy described when we collected it without your consent.
